• Designate an area to be used by chair people as an
office for tabulating ballots.
• Set up room for the Judges' Meeting (Approximately
12-18 people). This may be a classroom or the same room to be
used by the chair-people, if space is limited.
• Place a table at school entrance for registration.
At least two adults helpers are needed here.
• Set up the cafeteria with school numbers on the tables.
Do not use school names. There are at least 12 people for each
school. This room will also be used for the awards assembly.
A microphone would be appreciated.
• Designate classrooms where speeches will be held. Each
room will need a chair and a writing surface for the judge.
Please set up the room for contestants in grades 5-8 and adults
who will be accompanying them. Speeches held in primary rooms
will need larger chairs. In the duet rooms, please remember
you will have double the contestants.
• Provide chalk and eraser in each room for contestant
to print name and school number on the board.
• Provide table and two chairs in each duet acting room.
• Provide one chair for the speaker in humorous and serious
rooms.
• Provide beverages for lunch – enough to serve
the participants in the meet – 12 students per school,
1 judge, 1 coach. You are not responsible for providing drinks
for the parents.
• Provide volunteers to run the lunchroom.
• Offer assistance to the chair-people in the office.
Sometimes the help is needed; sometimes it is not.
• Request that the Pastor or Principal welcome students
at the general assembly.
• Provide coffee and juice, doughnuts, coffee cake, or
bagels in the judges' meeting room.
• Provide programs and label classrooms per instruction
from chairperson.
